One of the EDI communication messages, ORDRSP, is used to quickly specify an order and also to confirm it. Thanks to it, the customer immediately knows when the ordered goods will arrive, and also whether everything will arrive.

The ORDRSP message is a response to an order, and thanks to it, the customer immediately knows exactly when the goods will arrive and whether everything he ordered will be delivered. Suppliers can respond immediately based on current stock levels. No phone calls or emails, everything in EDI.

A customer implementing an EDI solution typically uses three basic messages:

Depending on the situation, it then gradually adds other messages that lead to more efficient processes in the company. One of the messages that significantly facilitates communication in the customer-supplier chain is ORDRSP (Order Confirmation).

The ORDRSP message is sent by the supplier to the customer after receiving the order as a response to the ORDERS message. It can be fully or partially automated. The system checks the stock status immediately after receiving the order and, if everything is in order, immediately sends a confirmation with the delivery date. The customer will then know about any changes that they should prepare for within a few hours. The message can concern one item from the order or all of them.

With the ORDRSP message, the supplier can communicate:

  • which goods from the order are currently available,
  • in what quantity,
  • when will it deliver goods that it currently does not have in stock,
  • mode of transport,
  • delivery date of individual items,
  • the price at which the goods will be delivered.

More time to respond to changes

Shortly after placing an order, the customer knows exactly what goods will be delivered and when. The warehouse and staff can prepare for receipt. If they see in the report that some goods are currently out of stock or have a long delivery time, they can immediately start looking for another supplier.

They praise this comfort, for example, in Pilulka , where they can quickly respond to current information from suppliers. If the goods are not in stock, they can start looking for them elsewhere in good time. They no longer have to make phone calls and exchange emails regarding orders, which used to take up a lot of time.

HP Tronic also has high expectations for the ORDRSP report: "We are currently implementing the ORDRSP report. For now, we operate in such a way that suppliers only confirm formal acceptance of the order (i.e. receipt of the ORDERS report). Any deviations are resolved with us by phone or e-mail, which not only delays both parties, but can also lead to possible discrepancies in the order execution process. Thanks to ORDRSP, we will find out about everything immediately and conveniently via EDI," says Ondřej Chwaszcz, CFO of HP Tronic.

Automated order confirmation helps reduce staff costs . When the system handles routine tasks for them, they have more time for other tasks. Work becomes more efficient and simplified, and there is no need to hire new employees.

Who is the ORDRSP report best for?

ORDRSP is most useful in business, where there is no need to cover an order at once in 100% volume.

It is important for all companies that:

  • they do not want or cannot hold much inventory (e.g. due to small storage spaces),
  • they sell goods that quickly perish (the message is already implemented, for example, in the food chains Rohlík, Lidl, Globus and Penny or in the aforementioned Pilulka with drugstore goods),
  • operate in JIT (just in time) or JIS (just in sequence) mode
  • or generally adhere to the principle of lean production .

Thanks to the fact that the customer and supplier can adjust the content of the report according to their own agreement, it can be used in a wide range of industries - from small to large companies. Currently, we most often encounter it in wholesalers of building materials or electronics (Elfetex, Elkov and, recently, HP Tronic).
