Managing a warehouse that can handle the onslaught of seasonal orders while keeping up with the pace is not easy. At Ovečkárna, this is done by Barbora Dvořáková , the warehouse manager, who is responsible not only for operations, but also for recruiting people and organizing the overall logistics.

"Every year we struggled with the same thing - an onslaught of orders, new people, difficult training, and the stress of not being able to do something," recalls the experienced manager, who has worked her way up through the company from the very lowest positions, so she knows exactly what she's talking about.

"All of that changed when we started using LOKiA WMS - a warehouse system that literally rewrote the way we work. For the better, of course," he smiles and tells in detail what has changed at Ovečkárna thanks to the modern cloud-based warehouse management solution.

From a part-time worker to a manager who manages the heart of logistics

Barbora Dvořáková joined Ovečkárna in 2020, initially as a seasonal part-time employee. “It was a job from October to December, but in January I received an offer for a full-time position. I gradually worked my way through everything – from packaging to picking – and over time I gained the trust to become a warehouse manager.”

Today, she is in charge of the entire operation: recruiting employees, planning the season, packaging materials, warehouse operations from receipt to shipping, and supervising inspection logistics. " We currently have ten core employees, but up to forty part-time workers during the season. I handle the recruitment and organization myself. Sometimes we have to find dozens of people in a few days because orders are growing at an incredible pace. "

Organized system even during the hectic season

According to Barbora, the biggest turning point came with the implementation of the LOKiA WMS system, which helped Ovečkárna tame seasonal chaos. "Before implementing this warehouse system, we did a lot of things manually. Everyone had their own habits, no one really knew where exactly what was. We relied on people's memories - for example, Petra knows where the slippers are. But when Petra wasn't there, no one knew," she laughs, recalling the uncoordinated time.

The change came with the implementation of the system. "We had to re-label the entire warehouse, add EAN codes, and map everything. It was a big step, but from that moment on we know exactly where everything is and how much we have."

Thanks to LOKiA WMS, the warehouse now functions like a well-tuned machine. "The system tracks every movement of goods. We know who picked what, where it went, and how it was moved. If something gets lost somewhere, we can find it within minutes."

Record? Order picked in under 1 minute!

Even before the implementation of the smart warehouse system, picking one order at Ovečkárna took about ten minutes. “Today it’s a minute. Our record is 0.92 minutes,” Barbora says proudly.

How does this translate into efficiency? "Previously, we were picking 1,500 orders in an 8-hour period with 35 people. Now, after deploying LOKiA WMS, we have the same number of people and hours, but we are already picking 6,000 orders!"

“The difference is huge. In an eight-hour shift, we get four times the work done – and with less stress. We used to run around the warehouse looking for things. Now we see everything in the system.”

In addition to saving time, labor costs have also been significantly reduced. "We monitor how much one order costs us. Now it's around 20 crowns, and even less in the season. Previously, it was several times more."

We climbed Mount Everest on a custom order

One of the biggest problems at Ovečkárna used to be training new people . Every season, dozens of temporary workers arrived and had to be quickly introduced to the processes, but it still took several days for a new person to get used to the process.

"Now, when a part-time worker comes in who knows the basics and has a bit of an overview, he's picking orders in ten minutes. The system guides him step by step and doesn't let him make a mistake. If something doesn't fit, it simply won't let him continue," Barbora describes.

"We once compared orders to mountains and tried to climb the imaginary Mount Everset, that is, to process 8,848 orders in one day. We managed to do it in 9 hours and I like that thanks to this warehouse system we can do such team events and challenges."

LOKiA WMS has helped eliminate the biggest stress of seasonal operations. "Previously, we were afraid that temporary workers wouldn't make it. Now we don't have to worry about the warehouse collapsing - everything runs according to the system."

Thanks to cooperation with GRiT, LOKiA WMS is customizable

It didn't end with the implementation in the warehouse. Ovečkárna and the GRiT team also developed a new function – the so-called support position , which further accelerated the processes. "When a picker arrives at a position and finds that something is missing, he beeps the order to support. The latter solves it, while the picker continues to work. Previously, he had to stop everything and look for where the error occurred. Now the warehouse doesn't stop," explains Barbora.

"The entire development took about half a year. We had a few birth defects, but the cooperation with GRiT was great. They responded quickly, everything was coordinated together, and the result is really functional."

Data, overview and team motivation

With LOKiA WMS, Ovečkárna also has a much better overview of people's performance. "In the reports, we can see how many orders each person picked or packed, how long it took them, and how they are doing compared to others. We then use this data for performance rewards - not only for permanent employees, but also for temporary workers."

This creates natural motivation and healthy competition. "I remember a new guy coming to us - after a class he was already doing more than our most experienced girls. They didn't let themselves be embarrassed and started competing to see who could pick the most. It was great because the system is set up in such a way that everyone has the same conditions and it only depends on their skill."

When the system is not an adversary, but a helper

The implementation of the smart warehouse system also brought a change in mindset to the warehouse. “The hardest part was getting people to understand that the new system is not an obstacle, but a best friend,” admits Barbora.

" The first few weeks when we tested the system were slower, but then the season came, thousands of orders - and everyone understood that it wouldn't be possible without LOKiA WMS. Today, no one can imagine it any other way ."

Thanks to the system, Ovečkárna has reached a whole new level. "Today we have peace of mind. We know we can handle any season. And that's something I wouldn't have said a few years ago."
