Current state and problem
Before the introduction of iNVOiCE FLOW, the company processed all documents manually. The responsible person had to scan paper invoices, name them, save them on the company disk, have them approved, and then import them into the accounting system. It was similar with electronic invoices, only instead of scanning, the invoices were first printed. The whole process was complicated by the distinction between paid and unpaid invoices (some invoices had already been paid in advance) and the fact that MoroSystems as a company covers three separate companies with their own identification data.
The situation at MoroSystems was even more complicated because invoicing was not part of anyone's main job description. In their free time, it was handled by two internal people who were distracted from other duties, and by an external invoicing officer who only came to the company twice a week. She was not always available. "We felt that this is not how a company can function in the 21st century," says Kamila Burgerová, the company's financial controller.
Proposed solution
While researching the market, they came across the iNVOiCE FLOW solution, which, according to the description, met all their requirements. Moreover, thanks to its low purchase price, they could easily try it out without taking any unnecessary risks.
However, the implementation of the tool was more complex. It was particularly complicated by the fact that three separate companies operate under MoroSystems. This meant that a lot of work was needed to differentiate individual invoices and the entire approval process. Also challenging was the connection to the Money S3 system, which is owned by an external accounting firm and which MoroSystems people only access remotely.

Resulting changes
“We saved approximately half of our working time, an estimated 60 hours per month. In addition, there is a much greater overview of the documents, we can see the entire history of the invoice, we know who it is with, nothing is lost. We also feel that the approvers now feel more responsible for the invoices.“
