The warehouse does not know exactly what is arriving or in what volume. The team must manually check for discrepancies, track down supporting documents, and determine whether the goods can be accepted and released into the ordering system. In an industry where product availability is critical for wholesalers, pharmacies, and healthcare facilities, every delay quickly impacts partner relationships.

An advance shipping notice provides the warehouse with information in advance about what is arriving, when, in what volume, and under what conditions. In the pharmaceutical sector, this can mean standard temperature control, cold chain requirements, or special handling for sensitive items. This allows for better planning of loading docks, staffing capacity, goods receipt, and coordination with TMS or logistics partners.

A digital document flow also speeds up the verification process, which is essential in the pharmaceutical industry for both business and regulatory reasons. Orders, confirmations, delivery notes, advance shipping notices, goods receipt notes, and invoices are linked, allowing the system to flag any discrepancies. Instead of checking line by line, the team focuses primarily on exceptions: quantity differences, missing batches, expiration dates, pricing, VAT, credit notes, or claims. Documents and processing history are then easier to track for internal audits or inspections by the State Institute for Drug Control (SÚKL).
